For case managers and funders

See the support you fund, without chasing it

Every case manager, insurer, deputy, local authority and NHS team that commissions support from us gets their own secure portal. Visits, notes, goals, documents and invoices for each person you fund, in one place, updated as the work happens.

Funders are quoted and invoiced. We never ask a funder for a card.

The admin is usually the hard part

Commissioning rehabilitation should not mean living in an email thread. Here is what changes when the record is shared rather than requested.

How it usually goes

You email for an update and wait for someone to be free to write one.

With Axon Neuro

Visit notes appear in your portal the day the specialist writes them, in full.

How it usually goes

Progress arrives as an occasional written report, months apart.

With Axon Neuro

Goals carry a plain-English progress note and a history you can look back through.

How it usually goes

Hours delivered live in a spreadsheet somebody keeps by hand.

With Axon Neuro

Hours commissioned each week and hours delivered in total sit at the top of the client page.

How it usually goes

Costs only surface at invoice time, when the work is already done.

With Axon Neuro

The quote, the plan and the invoice all read from the same figures.

How it usually goes

A safeguarding concern reaches you by phone, or in the next scheduled review.

With Axon Neuro

Concerns are raised in the portal and stay flagged on the client until you acknowledge them.

How it usually goes

Every question means another email thread with another attachment.

With Axon Neuro

One message thread per client, with our team, alongside the record it is about.

What you get to see

Your view covers the people you commission, and only those people.

A caseload, not an inbox

One card per person you fund. Each shows how it is going in words, not a colour code: on track, awaiting first visit, missed visit, goal off track, or open concern.

Every visit, written up

Daily summaries from the specialist who was there, with the note in full. Filter by date, by specialist, or search the text.

Goals and progress

The goals agreed with the person, each with the latest progress in plain English and the scores behind it over time.

What is coming up

Upcoming visits and calls, with a join link where the appointment is a video call.

Quotes, invoices and payments

Your quote as a PDF, then issued invoices and payments in one place. We never take a card from a funder.

Concerns you can acknowledge

Any safeguarding or incident report raised about the person you fund, with an acknowledge button that clears the flag.

Reports and documents

Occupational therapy reports and shared documents, released to you when they are ready rather than chased.

A thread with our team

Message us about a client next to the record it concerns. Ask for more hours, fewer hours, a pause, or something else, and we action it and confirm.

The clinical record is read-only to you, on purpose. It belongs to the specialist who wrote it. Anything you want changed, you ask us and we do it.

How a referral works

Step 1: Tell us what is needed

Use the online tool for an indicative price, or send us an enquiry. Choosing a funder relationship routes you to a quote rather than a card payment.

Step 2: You get a quote and an invoice

A PDF quote, valid for 30 days, with the specialist, the hours and the cost set out. The invoice follows with 30 days to pay.

Step 3: We set up your portal access

We open your view from the enquiry record and email you the link. You accept our terms once, then you are in.

Step 4: Support starts, and you can see it

Visits, notes, goals and documents build up in your view as the work happens, without anyone having to compile them for you.

Before we send anyone to a client

Vetted before anyone starts

Enhanced DBS, right to work, proof of address, insurance and references, all verified by us. Associates who support children hold an enhanced DBS check for work with children.

Registered where registration applies

We check the HCPC register for occupational therapists, physiotherapists, psychologists and speech and language therapists before they take work.

Your contract is with us

Axon Neuro is the provider and the contracting party, not an introduction agency. One agreement, one invoice, whoever attends.

Questions we are asked before a first referral

Is this regulated care?
No. We provide non-clinical neuro-rehabilitation reablement, not personal care or nursing. We do not help with washing, dressing or medication, and we are independent of the NHS. Where someone needs regulated care, we say so and refer on to a CQC-registered provider.
What happens if the specialist becomes unavailable?
We aim to keep the same person throughout. If someone becomes unavailable we will offer a suitable replacement, and you can accept it or end the arrangement. If we cannot arrange a suitable replacement, support that was not delivered is refunded or credited.
Can I change the record in the portal?
No, and that is deliberate. The clinical record belongs to the specialist who wrote it. You can acknowledge concerns, approve an assessment plan, message us and request a change to the package, and we make the change and confirm it back to you.
How do I raise a complaint?
Contact us and we will acknowledge it within 5 working days and aim to give a full response within 20 working days. You can ask for it to be escalated to a director. Concerns about how we handle data can go to the Information Commissioner's Office.
Who can be given access?
We open access for the person or organisation commissioning the support. A family member can be given a separate, narrower view where the person consents or where there is a Health and Welfare LPA or a court-appointed deputy.
Do you work outside the West Midlands?
We work across England and are building outwards from the West Midlands. Tell us the postcode and we will tell you honestly whether we can cover it yet.
